Dispatch & Freight Register

By Jay Sudha · Last updated September 30, 2026

Freight is paid in pieces — an advance at loading, a payment a week later, a round sum when the transporter comes asking — and rarely against one trip. Without a register it is hard to say what a transporter is really owed, which trips are still open, or whether a truck left without its bilty or e-way bill. This register keeps one row per truck loaded, works out the freight and the balance, and lets a later payment clear that transporter’s oldest trips first, the way the trade actually settles.

What it does

Setup lists your transporters and whether every truck needs an e-way bill, a check you can switch off. Trucks takes one row per truck: date, truck number, transporter, buyer or party, item, bags, quintals, destination, bill number, bilty or LR number and e-way bill number, with the freight rate per quintal or per truck and any advance paid at loading. Freight, balance and status work themselves out. Payments takes money paid to a transporter later, without picking a trip: it clears that transporter’s oldest unpaid trips first. The Dispatch tab covers any period you choose: trucks sent, quintals dispatched, freight and freight per quintal, advances paid, freight to pay now, a who-to-pay list with the oldest unpaid trip and days waiting, unpaid trips oldest first, freight by destination to compare what each route costs per quintal, trucks with papers missing, and every transporter’s full account.

Who it’s for

  • Mills, traders and manufacturers who send goods by hired truck.
  • Dispatch and logistics staff who hand over the bilty and the e-way bill.
  • Owners who want to know, before a transporter calls, what is actually owed.

Example workflow

In September 2026 the sample business in the EXAMPLE file sent six trucks carrying 1,020 quintals, for ₹54,480 of freight — ₹53.41 a quintal overall. One transporter carried three of them: ₹28,500 of freight, ₹4,000 paid as advances at loading and ₹13,000 paid since. Its ₹5,000 cash payment on 26 September was typed without naming a trip; the register applied it to the oldest open trip, a Karnal load of 12 September, which now shows ₹3,500 still due, while the next trip stays fully unpaid. The transporter is owed ₹11,500 in total, and ₹23,980 is due to transporters overall. Freight by destination makes the route comparison plain: Karnal cost ₹62.50 a quintal against ₹48 for Ludhiana, and two of the trucks left without all their papers.
